In order to operate your cosmetic or skin clinic, you need to meet the minimum standards required under national law. This covers regulations around medical procedures, practitioner conduct, hygiene protocols, and safety measures. 

Fresh’s regular compliance checks make it easy for you to demonstrate that your clinic is operating in line with Fresh Clinics’ expectations, help you identify any gaps in clinical standards early, and help you reduce your risk if you were subject to an audit by a regulatory body. You’ll still need to make sure you’re fulfilling your obligations as a health practitioner, but this is an easy first step in making sure your clinic is operating correctly.

Quarterly Compliance Check FAQs

What is the compliance check schedule and how often do I need to complete it?

As part of your Fresh Clinics membership you will need to complete a compliance check every quarter. We ask that you submit your completed check by the end of the first month in the quarter, to allow for processing by our team:

  • Q1 - January 31st
  • Q2 - April 30th
  • Q3 - July 31st
  • Q4 - October 31st

What happens if I don’t submit my compliance check?

Failure to submit your compliance check by the required due dates may result in the suspension or termination of your account with Fresh Clinics, unless you have spoken to your account manager or the Compliance Team about an extension.

I've already completed my compliance check, but received a reminder. What should I do?

Thanks for completing your compliance check! You can ignore reminders for the remainder of this quarter. You will need to submit your next compliance check by July 31st.

How do I remove a clinic location that is no longer operational?

Reach out to Customer Service on info@freshclinics.com to remove a clinic location from your account. 

What happens if I'm on leave (parental, holiday, etc.) during a compliance period?

Contact your Account Manager via email if you are on leave and are unable to complete your compliance check by April 30th. If you are not actively working, we can put your clinic on hold until you return.

How do I update my clinic location information?

You can submit a change of address form to update your clinic location information.

What if I haven’t started treating clients or ordering products yet?

You don’t need to complete a compliance check if you’ve only just signed on with Fresh. You will need to start completing the checks after placing your first order.

What documentation and photos are needed for a compliance check?

All of the documentation you need to provide is outlined in the app. You will need to provide:

  • Your fridge temperature log
  • Photos of your emergency medication (Hylase and Adrenaline / Epipen), including expiry dates
  • Photos of your S4 medication and storage, including locks
  • Video of your clinic that showcases hygiene standards, drug storage locks, fridge, sharps bin, bed and handwashing facilities
